Vehicle Delivery Note (RTO): Format, PDF & Free Template

A vehicle delivery note is a signed handover record that fixes the exact date, time, and condition in which a car or bike passes from seller to buyer — for dealers, private sellers, and the RTO file alike. Indian RTOs, insurers, and finance companies all expect one in the paperwork because it marks the precise moment custody and responsibility change hands.

That timestamp does real work. A challan or fine issued the week after handover, an accident claim, a tax notice — each lands on whoever held the vehicle that day, and the delivery note settles it. It files with the transaction's closing documents: invoice, sale letter, RTO Forms 29 and 30.

What every vehicle delivery note must contain

A usable delivery note format India-wide is fourteen entries. Miss the chassis number or a signature and the document loses most of its value.

• Dealer (or seller) name, address, and contact — telephone number included
• Customer (buyer) name, address, and ID reference, written exactly as on the ID proof
• Vehicle make, model, variant, year, and color
• VIN / chassis number, engine number, and key tag reference
• Temporary or permanent registration number (the M.V. number on the RC)
• Odometer reading and fuel level at delivery
• Accessories handed over — mats, mud flaps, tool kit, jack, spare wheel
• Documents handed over — RC, insurance certificate, PUC certificate, owner's manual, number of keys
• Sale amount and payment status (paid in full or balance due — see payment terms below)
• Date, time, and place of delivery
• A condition statement ("in satisfactory running condition" or listed defects)
• A responsibility clause: from this date and time, challans, accidents, taxes, and all liabilities pass to the buyer
• An undertaking to transfer the RC — many sellers use a car undertaking delivery note that commits the buyer to apply within 14 days
• Signatures of both parties, with one copy retained by each

The same delivery note of vehicle structure works for a new car, a used car, or a delivery note for vehicle transfer between family members — only payment and registration entries change.

How to fill delivery note for car

Copy the registration, chassis, and engine numbers exactly as printed on the RC, write the buyer's name as on their Aadhaar or other ID proof, record the date, time, odometer reading, and fuel level at handover, tick off every document and accessory handed over, then have both parties sign two copies, one for each side.

Three details deserve extra care when filling a delivery note for car sale:

1. Match the RC character for character. RTO clerks reject files over one transposed digit in a 17-character chassis number. Read it off the RC, not off the engine bay.
2. Record time, not just date. "18 July, 11:30 am" beats "18 July" when a challan is timestamped the same afternoon.
3. Count the keys in writing. Missing-second-key disputes are the most common post-delivery complaint dealers field; a "2 keys received" line ends them.

Here is the contrarian bit: skip the ₹100 stamp paper. A plain-paper or letterhead note signed by both parties is accepted everywhere a stamped one is — handwritten, printed, or a blank car delivery note PDF printed twice. We have never seen a file rejected for lacking stamp paper; we have seen plenty stall over a chassis number copied with one wrong digit. Filling the note takes 10–15 minutes; review it for errors or omissions before anyone signs.

Delivery note RTO: where it fits in registration transfer

In Indian usage, delivery note RTO means the signed handover note included with Regional Transport Office paperwork — alongside Form 29 (Notice of Transfer of Ownership) and Form 30 (Application for Intimation and Transfer of Ownership) for a used vehicle, or with the dealer's sale certificate for a new one. The forms record that ownership is changing; the note proves when physical delivery actually happened — the fact disputes turn on.

Why the RTO delivery note matters for transfer of ownership

Under the Motor Vehicles Act, 1988, the seller must intimate the RTO within 14 days of sale, and the buyer applies for transfer of ownership (30 days in most state practice). Until the new RC is issued the seller remains the registered owner on paper, so the RTO delivery note plus proof of payment is the seller's shield against challans and liability accrued after handover — and the attachment for a registered-post notice to the RTO, a newspaper public notice, or a civil court suit when a buyer never completes the transfer.

RTO submission process, step by step

1. Sign the delivery note at handover; each party keeps a copy.
2. Seller and buyer both sign Form 29 (two copies) and Form 30 (one copy); download both free from the Parivahan Sewa portal — details must match the RC exactly.
3. Submit within 14 days at the RTO of original registration, with the original RC, valid insurance certificate, PUC certificate, buyer's ID and address proof, tax receipt, and the transfer fee (varies by state and vehicle type).
4. Financed vehicle? Add Form 35 and the financier's NOC to clear the hypothecation. Interstate sale? Form 28 (No Objection Certificate, confirming no outstanding dues) comes first.
5. Track the application on the RTO portal until the new RC is issued in the buyer's name, then update the insurance.

Searches for a vehicle delivery note RTO PDF spike at exactly this step; agents at Mumbai and Pune RTOs ask private sellers for one routinely. A bilingual Marathi–English car delivery note format is common in Maharashtra; Tamil Nadu RTOs likewise accept English or Tamil versions. The note has no prescribed government form — any complete, signed format works, printed or digitally filled, whatever your RTO jurisdiction.

Why the dealer needs it

The signed delivery note closes the sale internally, fixes the warranty start date, and is referenced in RTO and insurance paperwork. It is also the dealer's legal protection if the customer later claims a missing accessory or a week-old scratch. For a new car it travels with the dealer's GST tax invoice (GSTIN, HSN 8703 for cars, 8711 for two-wheelers), Form 21 sale certificate, and temporary registration — those register the vehicle; the note records the handover, fuel level, and key count no tax document captures. One thing it is not: a delivery challan under Rule 55 of the CGST Rules 2017, which is a GST transport document for goods moving without a tax invoice.

Private seller

A private seller is well advised to use the same format — odometer reading, condition, payment received, and a signed acknowledgment limit later disputes about the car's state at handover. A used car delivery note is often the only dated, signed evidence a private seller holds — there is no dealer invoice behind the deal. Both parties sign; both keep a copy alongside the sale receipt and Forms 29/30.

A car transfer delivery note between individuals carries more weight per line — spell out defects and responsibilities rather than relying on "as seen".

Car delivery note with payment terms

A car delivery note with payment terms records what has been paid and what remains, alongside the handover — essential whenever a delivery note car sale is not settled 100% up front. State the full sale price, each amount received with date and mode (UPI, RTGS, certified cheque, cash), and any balance with its due date:

Two cautions from deals gone wrong. First, never hand over keys against a promised installment on a bare note — an unpaid balance of the purchase price belongs in a sale agreement, with the note reading "balance ₹X due by [date] as per agreement dated [date]". Second, write the UTR or transaction reference on the note itself: a cheque that bounces after the car sale delivery note is signed becomes a far easier police complaint with the reference recorded.

Bike delivery note

A bike delivery note works exactly like the car version, trimmed to two-wheeler realities. The traditional delivery note for bike or scooter reads: "I, [buyer], son of [father's name], resident of [address], have this day taken delivery of the vehicle bearing Registration No. ___, Chassis No. ___, Engine No. ___, Model ___, from [seller], along with the original documents and R.C., today on [date] at [time]. I am responsible for any challan, accident, or other case from today onwards, and I will get the vehicle transferred in my name within 14 days at my own expense."

Keep the odometer reading, both keys, tax receipt (two-wheeler lifetime tax runs about 15 years), and accessory list in the itemized section. Bikes change hands informally more often than cars, and camera challans follow the registration, not the rider — the note for a ₹40,000 scooter earns its keep when the first e-challan arrives after the sale.
