Free Payment Receipt Template
A free payment receipt template you can fill out, download, or use to mark a matching invoice as paid in the free invoice generator.
A receipt is proof of purchase — the seller's acknowledgment that payment was received. It comes after the invoice: the invoice asks for the money, the receipt confirms it arrived. That answers the question sellers ask most, whether a paid invoice can double as a receipt. It can, up to a point, but a dedicated receipt is cleaner for the customer's expense claims and for cash payments, where it is often the only proof either side keeps. Show the amount received, the date, how it was paid — cash, card, bank transfer or check number — and which invoice or order it settles.
Different situations call for different receipts. A cash receipt records a cash payment; a sales receipt itemizes an over-the-counter purchase with tax; a rent receipt logs a monthly tenancy payment; a donation receipt gives a nonprofit's donor their record. An itemized receipt lists each line rather than a single total, which is what expense policies and tax authorities look for. Whichever you need, a PDF or digital receipt emailed to the customer is valid in most places and far easier to file than paper.
Download the payment receipt template as Word to fill in by hand, or generate it online, export a PDF, and mark the matching invoice paid at the same time.

Frequently Asked Questions
Is this payment receipt template free?
Yes. 100% free with no watermark and no sign-up required.
What's the difference between an invoice and a receipt?
An invoice is a request for payment. A receipt is proof that payment was received. Many businesses send both — invoice first, receipt after the money arrives.
Do I have to give a receipt for every payment?
In most places yes — especially for cash payments. A receipt protects both parties and is required for the customer's expense records.
Can I email a receipt instead of printing it?
Yes. A PDF receipt emailed to the customer is legally valid in most jurisdictions and is easier to file than paper.
Can I use a paid invoice as a receipt?
You can, up to a point. An invoice marked "paid" with the date and method shows the payment was made, and many small businesses treat it as the record. A separate receipt is cleaner, though: it states plainly that money was received, which is what a customer needs for an expense claim and what you want on file for cash payments. In the invoice generator you can mark an invoice paid and issue a matching receipt from the same details.
What types of receipt are there?
The common ones are the cash receipt (a cash payment), the sales receipt (an itemized over-the-counter purchase with tax), the rent receipt (a monthly tenancy payment) and the donation receipt (a nonprofit's record for a donor). They share the same core — who paid, how much, when and for what — and differ only in the details each situation needs. Pick the closest template and edit the labels to fit.
