Free Rent Receipt Template — PDF & Word

A rent receipt is a signed document a landlord gives a tenant to confirm a rent payment — the amount, the date it was received, the property, and the period it covers. Some states require one: New York for cash or money-order payments, Washington and Maryland for cash or on request. In India, tenants need monthly rent receipts to claim the HRA exemption, with a ₹1 revenue stamp on cash rent above ₹5,000. Rent receipt rules vary by location, so check yours before relying on any template. US: New York requires receipts for cash or money-order rent, Washington and Maryland for cash or on tenant request, Massachusetts for every payment — and cities can be stricter. The IRS expects landlords to keep payment records at least three years. India: rent receipts support the HRA exemption under Section 10(13A) of the Income-tax Act — issue monthly receipts rather than one annual receipt, add the landlord's PAN when annual rent exceeds ₹1,00,000, and affix a ₹1 revenue stamp on cash rent above ₹5,000. Most landlords skip receipts for bank transfers because the statement is the receipt; unrecorded cash is how disputes start. Frequently Asked Questions

Is this rent receipt template free?

Yes. Download the rent receipt template in Word or PDF free — no watermark, no sign-up. The fillable rent receipt template PDF prints cleanly on one page, and the online generator emails a finished receipt straight to your tenant.

Is a rent receipt proof of payment?

Yes. A signed rent payment receipt showing the tenant, property, amount, date received, and period covered is accepted as proof of payment in landlord-tenant disputes, eviction defenses, housing-assistance paperwork, and tax filings. One caveat: a receipt for a check proves the check was handed over, not that it cleared — the bank record does that.

Is a landlord legally required to give a rent receipt?

It depends on the state. New York requires a receipt for rent paid in cash or by money order, Washington and Maryland require one for cash payments or whenever the tenant asks, and Massachusetts requires one for every payment. Several other states require receipts on request, and some cities add their own rules — check your local housing authority.

Do I need rent receipts for taxes or HRA?

Often, yes. US landlords should keep rent receipts at least three years to back up reported rental income, and about a dozen states offer renter tax credits that need payment proof. In India, salaried employees claim the HRA exemption under Section 10(13A) by submitting monthly house rent receipts through their employer on Form 12BB — include the landlord's PAN once annual rent crosses ₹1 lakh. Missed the employer deadline? Claim HRA when filing your ITR instead.

Does a rent receipt need a signature or revenue stamp?

A landlord's signature, yes — it is what turns the slip into valid proof of payment. A revenue stamp applies only in India: affix a ₹1 stamp when rent is paid in cash and exceeds ₹5,000 per receipt, and sign across the stamp. Cheque, bank-transfer, and UPI payments need no stamp.

Can a rent receipt be digital?

Yes. An emailed PDF rent receipt is legally valid in most jurisdictions and is accepted for HRA claims, as long as it carries the same details as a paper one — e-signatures count. Digital copies are also easier to keep for the three to seven years US tax authorities expect, or six years in India.

How do you write a rent receipt?

Write the date the payment was received, the tenant's name as it appears on the lease, the property address with unit number, the amount in figures, the payment method (check number or transfer reference), the rent period with start and end dates, and any balance still owed — then sign it. Keep a duplicate copy; a carbon-copy receipt book works, or download this template and print two.
